PURCHASING OFFICER

Location: hu’u Villas, Petitenget, Seminyak – Bali

hu’u Villas is seeking a motivated, honest, and qualified candidate to join our team as Purchasing Officer.

This is a crucial role in ensuring that all necessary supplies and services are procured efficiently, cost-effectively, and in a timely manner.

Job Scope:

  1. Procurement of Goods and Services:
    • Responsible for sourcing, negotiating, and purchasing all goods and services required by the company.
    • Ensure that all purchases meet the company’s quality standards and operational needs.
    • Maintain good relationships with vendors and suppliers to ensure reliable service.
  2. Inventory Management:
    • Monitor stock levels to avoid overstocking or stockouts.
    • Ensure proper storage of goods to maintain quality and minimize wastage.
    • Keep records of inventory movement, ensuring proper stock rotation (First In, First Out).
    • Conduct periodic inventory audits.
  3. Cost Control and Budget Management:
    • Work within the company’s budget and ensure that purchasing decisions align with financial goals.
    • Negotiate the best prices for goods and services while maintaining quality standards.
    • Assist in forecasting purchasing requirements to stay within budget constraints.
  4. Vendor and Supplier Management:
    • Establish and maintain strong relationships with suppliers and vendors.
    • Regularly evaluate suppliers’ performance in terms of price, quality, and reliability.
    • Negotiate contracts and delivery schedules with vendors.
    • Ensure suppliers comply with contractual terms and conditions.
  5. Order Management and Delivery Coordination:
    • Ensure timely delivery of goods and services according to the company’s needs.
    • Monitor orders to ensure that there are no delays or issues with deliveries.
    • Work closely with the receiving department to ensure proper documentation and quality checks upon receipt.
  6. Compliance and Documentation:
    • Maintain accurate records of all purchasing activities, including contracts, invoices, and order forms.
    • Prepare and maintain reports on purchasing activities and budgets for management review.
  7. Collaboration with Other Departments:
    • Collaborate with all departments to understand their needs and ensure timely procurement.
  8. Market Research:
    • Stay informed about market trends, new products, and suppliers.
    • Continuously assess supplier markets to identify cost-effective options without compromising quality.
  9. Sustainability and Ethics:
    • Ensure that sustainable, eco-friendly products are prioritized where possible.
    • Adhere to ethical purchasing practices and support local suppliers when possible.

Key Skills and Attributes:

  • Local candidates, aged between 25-45 years old.
  • Diploma or Degree in relevant fields is preferred.
  • At least 3 years of hands-on experience in purchasing, procurement, or supply chain roles.
  • Ability to manage multiple projects simultaneously while maintaining accuracy.
  • Strong interpersonal skills, with a team-oriented attitude, self-motivation, and a creative problem-solving approach.
  • Ability to work effectively under pressure.
  • Proficient in English, both written and verbal.
  • Negotiation Skills:Ability to negotiate pricing, contracts, and terms with suppliers.
  • Attention to Detail:Accuracy in processing orders, managing inventory, and ensuring compliance.
  • Time Management:The ability to prioritize tasks and manage time effectively to ensure timely procurement and delivery.
  • Communication Skills:Strong written and verbal communication skills to liaise effectively with vendors and all departments.
  • Problem-Solving:Quick thinking and adaptability when addressing procurement challenges or supply chain disruptions.

This role requires a balance of organizational skills, financial acumen, and strong vendor management abilities. It’s important for a Purchasing Officer in the hotel industry to be proactive, flexible, and have a good understanding of hotel operations to ensure smooth day-to-day functions.
