We are looking for a Front Office/HR Supervisor to lead our team of Reception staff and Drivers and ensure we provide excellent service to all our customers. Additionally you will assist our Resort Manager in all Human Resources matters

The Supervisors responsibilities include organizing employee shifts, training and motivating the Front Office Team & Drivers.
The FO Supervisor is responsible for mannaging the first impression of our customers and must perform his duties to the highest standards
Ensure that daily Front Office operations run smoothly and that the customers are satisfied.

Responsibilities Front Office
• Schedule shifts and arrange for replacements in cases of absence, ensure correct staffing levels during peak and low occupancies
• Overview and ensure the smooth operation of all the activities of the Front Office & Drivers
• Monitor and review the checklist of all the arrivals and departures
• Pick up’s and transfers, Tours
• Review the daily room availibility and inform all approbiate staff
• Ensure all necessary reports and forms are completed daily
• Performs Receptionist responsibilities as needed to process guests expediently but not limited to checking guests in, responding to guests questions, resolving guest problems/complaints answering the phone, organizing Tours and transportation, checking guests out
• Give a warm welcome to all the guests and provide them with the best services
• Ensure that guests needs are fullfilled and their stay is pleasurable and we create only good memories for them
• Respond to customer complaints and special requests
• Organize Tours and Transportation
• Assist Receptionist with resolution of guest problems/complaints as needed
• Monitor and maintain Office area & HK/F&B Storerooms
• Coordinate any orders/purchases with Office & Drivers for pick up
• Poses knowlede of Resort services, facilities, rates and area attractions
• Work as per the Instructions of the Resort Manger and organize and coordinate all the Front Office Duties
• Handle the booking and reservation duties and resolve issues if there are any complaints, especially about the quality of services delivered by the staff members
• Understand all Bungalow & Villa categories, rates, packages, promotions and other facilities knowledge necessary to perform the daily duties
• Ensure that all FO Team members have a current knowledge of all Bungalows categories, rates, packages, promotions, local area and other general product knowledge necessary to perform their duties
• Motivate team members and resolve any issues that occur on the job
• Control drivers and cars
• Assist other departments wherever necessary and maintain good working relationship with Team members
• Work closely together with Housekeeping and maintenance

Responsibilities HR
• Employ staff together with Resort Manager
• Write staff contract’s/warning letters
• Know Manpower rules and regulations
• Know Resort’s rules and regulations (working hours, off & holiday rules etc)
• Report staff to BPJS & Jam Sostek
• Report any accidents/incidents to BPJS/Jam Sostek
• Responsible for maintining papers & Kitas for foreign staff
• Maintaining paperwork & licenses for the Resort
• Get to know the local authorities & work closely together with them (police, kepala desa, pecalang, etc)
• Organize & attend meetings with staff leaders & Management
• Organize and attend meetings with staff & Management
• Act as a link between Resort Manager/Owners and staff

Requirements
• Workexperience as a Front Office Supervisor in a Resort or Hotel
• Strong organizational & coaching skills
• Flexibility to work various shifts
• Excellent communication skills
• Excellent english skills, written and verbal
• Positive attitude
• Ability to work on your own
• Take responsibilities
• Team Player
• Ability to establish priority settings for effectiveness and efficiency of job
• Excellent Computer skills – Microsoft office
• Good adminitration duties
• Basic accounting knowledge
